Executive Assistant to the CEO

Confidential Orange County, California

We are seeking an experienced Executive Assistant to support our CEO, Dr. Britt Andreatta. Schedule Management • Oversee and schedule the CEO’s calendar (e.g., meetings, calls, travel, interviews, presentations, conferences, and events), helping to keep priorities clear • Coordinate all logistics and ensure that the calendar accurately reflects relevant details (e.g. Zoom links, attendees and their titles, event details, etc.) • Assist the CEO with presentation/speech preparation, as needed (e.g., review/proofread and edit slide decks, handouts, etc.) • Work with vendors/suppliers to ensure a successful event • Reconcile receipts and complete expense reports as needed Finances • Oversee monthly payment of contractors/vendors • Assist with coding of charges in online books (Quickbooks) • Track overall expenses against organization’s annual budget Optional If you have skills in the following areas, there is an option (your choice but not required) to do additional work with the product team on learning solutions. using Adobe Illustrator and InDesign • Review and improve speaking/training materials (presentation decks, videos, ecourses) What We're Looking For (knowledge, skills, and abilities) • Minimum 1 year experience supporting a senior level executive • Experience in Learning/Training Industry is a plus • Bachelor’s degree required (degree in any of the following fields is a plus: Communications, Marketing, Learning/Education, Organizational Development, Psychology, Journalism, English, Public Relations) • Professional written and verbal communication skills with strong attention to detail • Ability to work independently on projects, from conception to completion, and under pressure at times • Proactive approach to problem-solving and ability to offer suggestions and improvements to processes • Experience managing confidential information and sensitive data with discretion • Flexibility, organizational, and time management skills to meet deadlines and prioritize tasks/projects • Strong interpersonal skills and the ability to build relationships with customers and other team members • Demonstrated ability and willingness to acquire new competencies and accept new challenges • Available to travel on an occasional basis (1-2x per year to learning/talent conferences) • Technical competency, specifically with MS Word, Excel, PowerPoint, Google Suite (gmail, drive, calendar), Adobe Acrobat (PDFs), and Quickbooks.
