Office Coordinator Duties and Responsibilities: ● Provide reception and general support to visitors and general employees in the office, including answering incoming phone calls ● Collect incoming mail and deliver to the appropriate party ● Maintain the appearance of the office, water plants, and general housekeeping ● Log owner’s personal expenses, and office expenses in Quickbooks ● Process office invoices (rent/utilities/supplies/furniture) ● Monitor office supplies/inventory to order when necessary ● Provide administrative and technical support, as needed, for the owner. This includes scheduling appointments and meetings, writing contracts and maintaining files. ● Implement office policies Property Management/Marketing Coordinator Duties and Responsibilities: ● Manage social media accounts (Facebook/Instagram) and website ● Create marketing analyses for development projects • Design branding materials for development projects, including flyers, websites, social media posts, and booklets when applicable • List all vacancies on BrightMLS and Craigslist • Process all applications for Property Manager’s review to approve/reject • Draft/Audit leases, send out for signatures, and collect fully executed copies • Keep Appfolio up to date with tenant/lease/utility information • Track upcoming vacancies 2x/month and coordinate with Property Manager to market them Qualifications: ● Attention to detail and organization is key in this role ● A positive, upbeat attitude is a must ● Proven office management experience with 2-5 years of property management experience ● Marketing and/or graphic design background ● Skilled in utilizing social media platforms ● Exceptional communication skills, written and verbal ● Ability to multi-task and prioritize duties ● Proficient in MS Office and GoogleSuite ● Creative mindset ● PA real estate license preferred Compensation/How to Apply This is a full-time position with a yearly salary.
