Seeking Rock-Star Admin for Award Winning Design Firm!

JOB SUMMARY The Studio Admin reports to the Director of Operations and maintains the overall flow and functionality of the office. Provide general office administration and studio coordination in a fast-paced landscape architecture firm, assist the Principal, Design Staff and Director of Operations as needed: design process facilitation, client intake, marketing content management, AR/AP support, scheduling, Level 1 technical support, facility management tasks and projects. Works independently and with the team WORKING ENVIRONMENT / LOCATION o Mon-Friday, office based o Part-time up to 30 hours/week o Open, centrally located office, team-oriented, friendly culture WORK ACTIVITIES General office administration and studio coordination • Client & Business partner communications • Order office supplies and maintain stock • Scheduling for Principal & office activities • AR/AP support (paying invoices, recording payments, Quickbooks entries) • Systems management, Level 1 tech support • Receive & sort mail and packages, prepare packages • Assist designers with preparation of printed sets, coordinate with printers and delivery • Support Principal, include running errands • Design Team support including ordering materials, printing large sets of plans, facilitating the design process, etc. • Light cleaning of communal spaces, taking out trash and recycling weekly New Client intake • Process new client inquiries on a weekly basis • Schedule site visits and prep materials • Collate new client information for review • Client outreach • Initial intake document management • Update intake tracking tool Marketing Content Management • Maintain and monitor social media presence • Collaborate with Director of Operations and staff on new media materials • Website & digital and printed collateral content management • Other duties as required o JOB COMPETENCIES o College degree preferred, not required o Creative & self-directed, interest in design, architecture, plant knowledge a plus o Studio Coordination experience in an architectural or design firm preferred o Highly organized, detail oriented, responsive and self-directed o 3+ years’ office experience o Advanced computer skills, fluent in MS Office and Adobe Creative Suite, new technologies, revolving knowledge of new website platforms and social media platforms, intermediate graphic design skills o Friendly, professional demeanor, strong verbal and written communication skills o Multi-tasker, ability to plan ahead and prioritize o Willingness to take on new tasks as they arise David Thorne Landscape Architect, Inc. is dedicated to celebrating diversity.
